Getting Started with Outreach

Feature Purpose

Once you have approved or recommended influencers, you can begin the outreach process to align on deliverables and timelines. If you're a seasoned Influencer-Outreacher you might already have a preferred template or workflow that you can use for outreach emails, or group message outreach. But if you're relatively new to the world of influencer workflows — welcome! We have some best practices and even a template you can repurpose to get up and running like a pro. Ready to get sending? Let's go!

Step-by-Step Process 

  1. After logging in, you will land on your campaign list page
  2. Click on the campaign where you would like to start your outreach 
  3. Click on Influencers in the sub-navigation
  4. You have two options to get started, you can choose to send a Group Outreach Message, or you can message influencers individually. 
Group Outreach Message

When choosing the Group Message option, all recipients will receive the same message, but you can personalize the recipients name using the {name} placeholder in the email. For this reason, a group message can be useful for understanding the influencer's availability, similar to a casting call to shortlist the available influencers before sending over any campaign details. You can definitely include what assets you might be looking for, however the final deliverable may be dependent on the influencer's platform. Therefore, for a group message, it might be best to be more generic when listing the deliverables, rather than listing specific formats or time lengths.

Here's an example of a group message email we love:

Hi {name} and team,
I’m [YOUR NAME] from [YOUR COMPANY]'s partnerships team, reaching out about an exciting new [PRODUCT/SERVICE] that we think your audience will love! We’re gauging interest and locking availability this week for this quick-turn paid collaboration.

Requested Deliverables:

  • One short-form video on your social platform aligned with brand approved creator brief
  • Production window: [START DATE] through [END DATE]
  • Publish Date: [LIVE DATE]

If you’re interested, please reply to confirm availability & share the desired rate to complete these deliverables.

Once we have your “yes,” we’ll send an NDA later this week and share details for accessing the [PRODUCT/SERVICE] for production.

Kindly respond by [DATE AND TIME]. Feel free to drop any quick questions happy to help.

The [YOUR COMPANY] team is looking forward to possibility working together!

Please note only the {name} macro will be automatically replaced with the influencer's name. The other placeholders are meant to be manually changed with your information before sending. We also recommend hyperlinking your company website, or product/service pages so they can ensure the email is legitamite. 

Individual Outreach Message

Even though individual outreach can be more time consuming to send separate emails, it can shorten the time it takes for an influencer to produce content and get it live. The big difference with individual outreach is that you can send documents along in the initial message. Whereas with Group Outreach, you can include links to supporting resources but NDAs and Creative Briefs are best to send when tailored for the specific individual. Luckily, the above template works fairly well when repurposed for individual outreach that includes an NDA attachment, just with a few small tweaks. 

Here's the version we recommend for individual outreach:

Hi [NAME/HANDLE] and team,
I’m [YOUR NAME] from [YOUR COMPANY]'s partnerships team, reaching out about an exciting new [PRODUCT/SERVICE] that we think your audience will love! We’re gauging interest and locking availability this week for this quick-turn paid collaboration.

  • One [15s, 30s, 60s] video posted to your [SOCIAL PLATFORM] aligned with brand approved creator brief
  • Production window: [START DATE] through [END DATE]

If you’re interested, please sign the attached NDA & share the desired rate to complete these deliverables. 

Once signed, we'll follow up with the creative brief as well as details for accessing the [PRODUCT/SERVICE] for production.

Please note the {name} macro currently works for group outreach messages only. Documents are sent separately therefore we recommend sending the initial outreach message first, and then attaching documents by clicking the NDA or Creative Brief icon shortly after.

Once your emails are sent, the influencers in your Outreach will be sorted by who replies in chronological order. So you can stay on top of who has responded, and next steps for getting your campaign up and running!

Frequently Asked Questions

Can I add emails to CC or BCC fields?

You can add emails to CC or BCC using individual outreach on the initial email. If you add in a CC email to the initial outreach message, that email will stay copied for the entirety of the thread. BCCs will only be copied on the initial email and not an influencer's reply. You can also add multiple emails to each field when conducting individual outreach. Group messages does not support CC or BCC fields at this time.

Will I receive a notification when there is a reply?

Great question, if you connect your own email to the Outreach messages, you will be able to see new emails in your own email inbox. Currently, we have an integration for Outlook accounts and we are actively working on adding support for connecting Gmail accounts. In the meantime, we recommend adding your own email in the CC field so you can be copied on replies. You can also reply to emails directly from your email inbox once you have sent the initial email in-platform.
